Oak Ridges Soccer Club is looking for a new Club Administrator!

Serving over 1,200 members, the Oak Ridges Soccer Club (ORSC) is a non-profit organization whose vision is to provide programs of the highest standard with a priority on player and personal development. We are seeking to hire a Club Administrator to contribute to the daily operation of ORSC. The incumbent reports to the Technical Manager and their responsibilities will include, but are not limited to, the following:

Acts as main point of contact for the Club, providing high quality and timely customer service to all stakeholders (e.g., players, parents, volunteer coaches, service providers, leagues, etc.) and responds/redirects inquires received in person by email, phone or through social media

Communicates Club information to parents, players and coaches via a variety of media platforms including, email, the Club website, Twitter and Instagram feed and Facebook page

Contributes to, and maintains, the Club website and other social media platforms

Membership and registration database management including set-up of registration events in the online registration system (Power Up) entering paper registrations and updating registration records with mail in payment information or program changes, assisting players and parents register for their appropriate age level, register players with OSCAR or CTMS databases as required

Completes financial activities including cash and card transactions, tracking of payments, coordinates refunds for registrations with the treasurer/accountant, ensures members playing are in good standing and reports to the Technical Manager on outstanding payments on a monthly basis

Prepares rosters for teams and provides initial communications to coaches and parents

Maintain records of all personnel files including tracking coaching certifications, police record checks, etc.

Provides administrative support to the Board of Directors and attend board meetings as required

Ability to perform physical labour (lift up to 40lbs) plus other duties as assigned by the Technical Manager

REQUIRED QUALIFICATIONS

One-year certificate in Office Administration and/or a minimum of three years of related work experience. Previous experience in community sport administration and/or league operations is preferred. Consideration will be given to an equivalent combination of education and experience and to those with a genuine interest and knowledge in the sport of soccer. A satisfactory criminal record check will be required of the incumbent.

DEMONSTRATED KNOWLEDGE, SKILLS AND ABILITIES:

Excellent communication skills and strong customer services orientation are essential

An interest in and knowledge of soccer in general and within the local soccer community is preferred, especially familiarity with the York Region Soccer Association (YRSA) and Ontario Soccer Association

Excellent computer skills and experience with web-based data systems (proficiency in MS Word/Excel)

Bookkeeping knowledge and experience and proficiency in Quickbooks is an asset

Strong organizational and time management skills; adaptable and works well in a fast-paced environment

Ability to handle multiple and at times overlapping deadlines

Problem solving skills, including the ability to recognize potential problems and assist with resolution

Ability to maintain confidentiality and professionalism and flexibility to respond to changing priorities

POSITION DETAILS AND APPLICATION PROCEDURE:

This is a full-time position with annual review and requires the incumbent to work minimum 35 hours per week. The nature of soccer is that there are two peak seasonal times. The first, as we prepare for spring-summer sessions, and the second as we prepare for fall-winter. Therefore, hours will vary to ensure work is completed.
